AI twins

AI twins for sales reps, explained

What an AI twin knows, what it does after every call, how Focus mode works, and why it is not an AI SDR sending email in your name.

A sales rep in the back seat of a car typing on a laptop, a leather work bag on the seat beside them.

An AI twin is a personal assistant for one sales rep. It knows every call, deal and contact of that rep, and it does the work around the conversations: it updates the CRM, drafts the follow-up email in the call’s language, prepares the next meeting and queues the tasks. The rep approves each action, so nothing leaves without them.

What does an AI twin know?

Everything the rep has said and done with a customer, and nothing about colleagues’ accounts. The twin reads every captured conversation of that rep: video calls the meeting bot joined on Google Meet, Microsoft Teams, Zoom or Webex, in-person meetings recorded with the phone app, phone calls from the dialer and files the rep uploaded. It also reads the rep’s deals and contacts in the CRM.

That combination is what makes it useful. A transcript alone tells you what was said today; the twin also knows that the same buyer asked about integration costs three weeks ago, that the deal has been in the proposal stage since then and that someone from finance joined the last call. It answers with that context instead of from a single call.

The twin is scoped like the rep is. Members see only their own calls, and so does their twin. Managers and RevOps see what their role allows, as they do today.

What does an AI twin do after a call?

It prepares the work a rep would otherwise do at 6 pm or forget. When the call ends, the twin has a set of proposed actions ready:

Work after a call What the twin prepares What the rep does
CRM update Contact details, deal stage, next steps, notes and fields such as MEDDIC or BANT, with an audit trail Checks and accepts
Follow-up email A recap in the language of the call, with the agreed next steps and the right recipients Reads, edits if needed, sends with one click
Tasks The things the rep promised, with a date Keeps, moves or drops them
Next meeting An account brief: what happened so far, open questions, who is new on the buyer’s side Reads it before the call
Coaching The call scored against the team’s scorecard, with a timestamp per criterion Replays the moments that matter

The follow-up goes out from the rep’s own Gmail or Outlook, so the buyer replies to a person, in a thread they already know. The CRM changes land in the CRM the team already uses (Salesforce, HubSpot, Microsoft Dynamics 365, Pipedrive, Zoho, Teamleader or Attio), so nobody has to learn a new place to look. More on both: follow-ups and CRM automation.

How does Focus mode work?

Focus mode puts the twin’s proposals in front of the rep one at a time, with three choices: Do, Queue or Skip. Do runs the action now: the email is sent, the CRM is updated, the task is created. Queue keeps it for later, for a proposal the rep agrees with but wants to look at again. Skip drops it.

Every choice has an 8-second undo, which is the safety net for working fast. A rep clears the work of a full day of calls in one sitting, on the laptop or on the phone between two visits, and can still take back a click.

The point is not to remove the rep from the loop. It is to shrink the loop to the part that needs a human: judging whether the summary is right, whether the tone fits this buyer and whether the next step is the one they agreed.

Why is an AI twin not an AI SDR?

Because it works on conversations that happened, for a rep who is present, and it never sends anything without that rep’s approval. An AI SDR is built to replace a person: it writes cold outreach to people who have never spoken to you and sends it in someone’s name, at volume.

A twin is the opposite design. It does not start conversations; it finishes the work after them. It has no mandate of its own. Each email, CRM change and task is a proposal until the rep says Do. That matters for trust on both sides. Buyers get a follow-up from the person they spoke to, written in the language they spoke in. Reps keep control of their name and their relationships. Sales leaders can explain to legal and the works council exactly what the system does, because the answer is short: it drafts, the rep decides. For recording itself, see May I record a sales call under the GDPR?.

What changes for the sales leader?

The CRM becomes something you can forecast from, without asking reps to fill it in. When every call updates the deal record and every follow-up is logged, the pipeline review is about the deals instead of about missing data. The admin a twin takes over adds up: reps win back 1 full day every week.

The same captured calls feed coaching. Every call is scored against the team’s own scorecard, each criterion with its reasoning and the timestamp that proves it, so a manager can spend twenty minutes on the three moments that matter instead of an hour on a full recording. The coaching page shows how that looks.

What does a rep need to set up?

Three connections, once. The rep connects their calendar, so the meeting bot joins the right calls; their mailbox, so follow-ups go out as them; and the phone app, if they meet customers in person. The CRM connection is set up once for the whole team by an admin. From then on, the twin works from the next call. The AI twins page has the full picture, and the glossary has a short definition of an AI twin.

Questions readers ask

Does an AI twin send emails on its own?

No. The twin drafts the follow-up in the language of the call and the rep sends it with one click, from their own Gmail or Outlook. Nothing goes out in the rep's name without that approval, and an 8-second undo in Focus mode catches the click the rep did not mean.

Which CRMs does an AI twin keep up to date?

Salesforce, HubSpot, Microsoft Dynamics 365, Pipedrive, Zoho, Teamleader and Attio. The twin reads the CRM before a call and writes back after it: contacts, deal stage, next steps, notes and methodology fields such as MEDDIC or BANT. Every change it makes is logged in an audit trail.

Does an AI twin work for calls in Dutch or French?

Yes. Drummer transcribes calls in more than 60 languages, including Dutch, French and German, and the twin writes the follow-up in the language the call was held in. A Flemish rep who switches between Dutch and French customers gets each follow-up in the right language without translating anything.
